Oral Presenter Instructions

Please review and follow all the guidelines provided below. Oral presentations are due September 27th . The presenting author will receive an upload link from the conference A/V company with instructions on presentation upload Coming Soon. If you have not received this link after this date, check with the first author on your paper to verify if it has gone to them. For questions regarding upload, please email info@ieee-ecce.org.

Presentation Guidelines

Oral presentations should maintain a 16:9 aspect ratio. A standard ECCE 2026 template is provided here. ECCE 2026 logo use is allowed only on presentations to be given during ECCE 2026 and must maintain a similar aspect ratio to any other logo it is positioned in line with.

Presentation Length

Presenters are given a 15-minute time frame to present. Q&A will follow each presentation or after all oral session presentations at the session chair’s discretion. Please double-check the conference program here for your session day and time and arrive early to check in with your session chair.

Online Presentation Upload

The ECCE 2026 Speaker Ready Room will be open daily starting at 8:00 AM on October 4, 2026. Authors are welcome to come to the speaker ready room to update presentations that have been submitted or test the presentation live. Please note, any updates to the presentation need to be made the day before your session.

Speakers Breakfast

All oral and special session presenters are requested to come to the speaker’s breakfast only on the day that you are presenting. This is an opportunity to meet your session chair, update the chair on your bio and receive any additional instructions. Speaker’s breakfast does not include poster session presenters.

Poster Presentation Guidelines

Poster presentations should follow the poster guidelines document, which outlines the recommended dimensions for your poster. The same rule of ECCE 2026 logo use applies to poster presentations. You may bring your posters to the conference venue or use local printing services to print your poster (fee applies). Posters should be hung no later than 30 minutes before the start of your poster session.

Nearby poster printing options are available. Email your poster in .pdf format and indicate the size you need to: store117@theupsstore.ca. In your email please include the following information:

  • Full name
  • Event name
  • Poster size
  • Preferred pickup date

Also in the email include your payment by filling out the credit card authorization form linked below. Please include a photo of your ID (this is notated on the authorization form).

Pick up is at their location located a few blocks from the convention center at Sinclair Centre, R142 – 757 West Hastings St. Vancouver British Columbia – V6C 1A1. To ensure your poster is printed on time through this location, please submit the pdf of your poster no later than September 25th. Please note that this location is closed on Sunday, so poster sessions for Monday will need to pick up their posters two days before their session.
